What you will be responsible for:

Office Admin

  • Manage daily office operations, ensuring optimal functionality across various services.
  • Liaison with Office Building Management, including maintenance and repairs work, assist in managing office lease agreements, renewals, and ensure compliance with building policies.
  • Manage pantry and stationery supplies, ensuring timely replenishment to meet staff needs
  • Manage incoming and outgoing mail
  • Submission of contracts and invoices to OA system, ensuring compliance with legal and organizational standards
  • Coordinate travel logistics for employees, including booking flights, accommodations, ground transportation, and ensuring adherence to travel policies
  • Manage the office's Public Liability Insurance and Travel Insurance. Ensuring the policy is timely renewed.
  • Handling Office Assets: Inventory Management, Asset Tracking, Asset Allocation, Support mid-year and year-end asset stocktaking processes
  • Organize internal office events, such as team-building activities, holiday parties, celebrations etc
  • Support for Executives: Provide administrative support to senior management and executives, including submitting invoices, claims travel arrangement etc.
  • Other administrative support duties which will be assigned from time to time

Basic HR Support:

  • Onboarding, Offboarding, Interview Arrangements
  • Arrangement of staff sitting, ensure new hires' logistics matters are arranged (laptop, staff access etc.)
  • Introducing new hire to colleagues and familiarization of office facilities
  • Assisting in apartment sourcing.
  • Other basic HR support duties which will be assigned from time to time

How you will stand out:

  • Diploma or Degree in Business Administration, Office Management, or a related field.
  • 2–5 years of experience in office administration or a similar role
  • Strong organizational and multitasking abilities.
  • Proficiency in managing contracts, invoices, and office systems.
  • Experience in inventory and asset management.
  • Event planning and travel coordination expertise.
  • Effective communication and vendor liaison skills.
  • Basic HR knowledge for onboarding, offboarding, and interview support.
  • Administrative support for senior management.
